Creative Strategies for Business Process Streamlining

The GCI developed an Electronic Routing and Approval tool at the request of faculty, administrators, and central office units to streamline proposal development, routing and approval. This tool provides an opportunity for units to examine the potential for process improvement - how needs can be met in new ways which streamline the business process.

We would like to share some ideas we have collected from campus users which could be helpful in your unit.

System Function Possible Situation Problem Solution
  • System generates emails notifying reviewers of proposals awaiting their action.
  • One person may have two roles, one as a primary reviewer, and one as a backup reviewer.
  • How can an individual with multiple roles sort the system-generated emails to make it clear which ones pertain to his or her primary role?
  • Use email filters to sort emails relevant to the reviewer's different roles into roles into appropriate folders created within his or her email client. These filters and their associated folders can be created using C&C's Email Delivery Manager, or they can be created within the email program itself by following instructions found in the software's own help menu.   • System is electronic, requires online approval.
  • Some Department Chairs may prefer to look at proposals printed on paper, or for other reasons may not want to use an electronic system.
  • How can the system allow for such individual preferences while still being compliant with the Electronic Research Administration?
  • A Department Chair can name a designate to receive system-generated emails. The designate can print out the proposal on paper for the Department Chair to review. The Department Chair can then either go online to approve the proposal or ask the designate to do so on their behalf.
